    Job Description:

    Maintain the service technicians daily scheduled and dispatch the technicians as service calls are completed. Schedule return trips with customers when parts are in. Maintain the on-call schedule for service technicians. Maintain customer database with current information. Clear and concise communications with department managers, employees and company customers, including keeping customers appraised as to company schedule and requested lead-times.

    Daily Tasks

  • Answer incoming calls
  • Schedule and coordinate all service calls as they are received
  • Create dispatch tickets for all service calls and assign team accordingly
  • Debrief Technicians after the completion of each call
  • Contact customers with a “Parts Pending” status as parts are received for scheduling
  • Follow up on all pending and recommended work with customer utilizing the pending work log
  • Forecast workload for team for at least one-week in advance
  • Maintain customer history files in database
  • General administration tasks and assistance to Accounting department

  • Performance Indicators

    Certain key business indicators that will measure the effectiveness of the Service Dispatcher. These include the following:

  • Recommend changes in products, service, and policies by evaluating results and competitive developments
  • Resolve customer complaints by investigating problems; developing solutions; preparing reports; making recommendations to management
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks

    Main Responsibilities include

  • Organize and supervise purchasing activities
  • Place material orders and follow up with suppliers
  • Maintain records of submissions received, price lists and orders in progress
  • Research and find original and alternative approaches to delivery problems

  • Desired Skills & Expertise

  • 1 to 3 years of experience in the purchasing field or dispatch (Preferably in the security or IT industry);
  • Strong ability to work under pressure and adapt quickly to a variety of situations;
  • Sense of analysis, sense of organization and planning;
  • Demonstrate autonomy, initiative, rigor and thoroughness;
  • Ability to effectively manage and prioritize multiple projects at once;
  • Knowledge of MS Office Suite

  • Account payable processing and check emitting
  • Daily check deposit and end of month reconciliation
  • Preparing and processing the pay with external company
  • Produce weekly and monthly reports

  • Qualifications

  • A minimum of 2 years experience in bookkeeping
  • DEC in accounting or more

  • Excellent French and English communication skills, both written and verbal.
  • Valid Quebec Driver's License
  • Must be bondable and undergo a basic security clearance.
  • Proven ability to build and maintain strong working relationships, both internally and externally.
  • Basic computer skills.
